SharePoint Approval Workflow
Design single-stage, multi-stage, sequential or parallel approvals with clear status, comments, notifications and decision history.
Business processes often begin in SharePoint but then escape into email, spreadsheets, chat messages and manual reminders. The result is unclear ownership, missed approvals, duplicate effort and limited auditability.
Our SharePoint workflow automation approach starts with the process itself: who initiates it, what rules apply, who must decide, what happens next, which systems need updating and what evidence the business needs to retain.
Route requests to the right approver, support multi-stage decisions and make status visible without chasing people manually.
Control review, approval, versioning, publication and acknowledgement around SharePoint libraries and records.
Trigger notifications, tasks, updates and downstream actions when a business event occurs.
Identify old SharePoint Designer or SharePoint 2013 workflow dependencies and redesign them for supported automation patterns.
IDS Logic develops SharePoint workflow solutions for approval, routing, document control and cross-team processes, using Power Automate and custom components where appropriate.
Design single-stage, multi-stage, sequential or parallel approvals with clear status, comments, notifications and decision history.
Automate document review, revision, approval, publication, expiry and controlled access around SharePoint libraries.
Build tailored process logic for business rules, exceptions, escalations, integrations and role-based actions that exceed standard templates.
Create cloud flows connecting SharePoint with Teams, Outlook, Microsoft 365 services and approved business applications.
Automate onboarding, leave requests, policy acknowledgements, employee changes and other structured people processes.
Digitise purchase requests, invoice approvals, tender processes, budget checks and controlled financial sign-off.
Use reminders, due dates, exception paths and escalation logic to prevent requests from disappearing into unattended queues.
Surface process status, exceptions and completion data, then support and improve flows as business rules change.
A reliable workflow is more than a trigger and an approval action. It needs defined ownership, secure permissions, exception handling, clear status, audit evidence and a support model when people, systems or business rules change.
We select the lightest maintainable approach that still meets the process, security and integration requirement.
Best for many approvals, notifications, document processes and Microsoft 365-connected workflows.
Useful when the process needs a richer input experience, role-based form logic or guided task completion.
Use SPFx, APIs or custom integration logic when the process spans systems or contains rules that standard connectors cannot handle cleanly.
Microsoft fully retired SharePoint 2013 workflow in SharePoint Online on 2 April 2026 and recommends migration to Power Automate or another supported solution. SharePoint Server 2013 itself also reached end of support in April 2023.
We assess legacy workflow definitions, business owners, dependencies, forms, custom actions and integrations before deciding whether to migrate, redesign or replace the process. For suitable SharePoint Server workflows, Microsoft tooling can assist with parts of migration, but complex business logic still benefits from deliberate redesign and testing.
Do not treat a legacy SharePoint workflow as a simple technical upgrade. Preserve the business rules, approvals and audit requirements first; then modernise the implementation.
Legacy workflows often contain years of hidden business rules. We capture those rules and exception paths before rebuilding them on a supported Microsoft 365 automation model.
Discuss a legacy workflow estateWhether the process is procurement, HR, finance or document control, the workflow should make ownership and next steps obvious.
Structured data, document or business event starts the process.
Check completeness, role, value, category or other routing conditions.
Route to the right people with approval, rejection and comments.
Update SharePoint, notify users or trigger connected systems.
Record status, decisions, timestamps and exceptions for reporting.
Business-critical workflows need operational ownership. We design with the people who will administer, support and change the process after launch.
Define who owns the flow, connection references, credentials and future changes.
Keep access aligned with SharePoint, Microsoft 365 and connected-system permission requirements.
Plan for missing data, unavailable approvers, failed connectors and downstream-system errors.
Test changes to rules, forms and integrations before they affect live business processes.
We can map the process, identify risk and recommend the right modernisation route.
IDS Logic Middle East supports organisations in Dubai and across the UAE that want to digitise approvals, document processes and cross-team workflows inside their Microsoft 365 environment.
We can design workflows for departments, business units and multi-entity organisations where approval levels, user roles and system integrations vary by location or process.
IDS Logic Middle East combines Dubai-based commercial engagement with wider SharePoint, Power Platform, API, testing and managed-support capability.
We define business rules and exception paths before configuring the technology.
Understand the request, users, approvals, current pain points and desired business outcome.
Define steps, business rules, approvers, exceptions, data, documents and system dependencies.
Select Power Automate, Power Apps, SharePoint configuration, SPFx or API components where they fit best.
Implement and validate routing, permissions, notifications, rejection paths, integrations and end-to-end journeys.
Release with ownership, monitoring and documentation, then refine as process requirements evolve.
These projects are included because IDS Logic publicly documents workflow and approval automation work for them.
IDS Logic integrated Microsoft Power Automate with the client's SharePoint environment to automate data synchronisation, approval cycles and task routing. The published case study reports more than a 70% reduction in manual data handling for that engagement.

Practical answers for organisations planning approvals, document workflows, Power Automate or legacy workflow modernisation.
SharePoint workflow automation uses SharePoint data, documents and business events to trigger structured actions such as approvals, notifications, tasks, updates and integrations. In modern Microsoft 365 environments, Power Automate is commonly used to orchestrate these processes.
A request, list item or document starts the process, business rules determine the approver or approval chain, and the workflow records the decision before updating SharePoint or triggering the next action. Approvals can be sequential, parallel or conditional depending on the business requirement.
Yes. We can design workflows for document review, approval, revision, controlled publishing, expiry, acknowledgement and related audit requirements using SharePoint libraries and appropriate Microsoft 365 automation.
Yes. IDS Logic uses Power Automate for many modern SharePoint workflow scenarios and can combine it with Power Apps, SharePoint configuration, SPFx or external APIs where the process requires additional capability.
The answer depends on what you mean by SharePoint workflow designer. SharePoint Designer-era workflow tooling is legacy technology, while modern SharePoint Online automation is generally designed with Power Automate and, where necessary, Power Apps, SPFx or APIs. We help translate existing process logic into a supportable modern design.
Microsoft fully retired SharePoint 2013 workflow in SharePoint Online on 2 April 2026 and recommends moving affected processes to Power Automate or another supported solution. Existing organisations should identify remaining workflow dependencies and modernise the underlying business process rather than relying on the retired engine.
If this refers to SharePoint Online 2013 workflows, the workflow service is now retired. If it refers to SharePoint Server 2013, the product itself reached end of support in 2023. We first establish which platform and workflow technology you are running, then recommend migration, redesign or replacement based on the business process and current Microsoft support model.
Some workflow scenarios can be assisted by Microsoft's migration tooling, but migration is not always a one-to-one conversion. Complex custom actions, forms, integrations and exception logic often need assessment and redesign before a reliable Power Automate implementation is released.
Yes, where suitable APIs, connectors or integration services are available. The design should define the system of record, authentication, data mapping, failure handling and what should happen if the external system is unavailable.
Many Power Automate approval scenarios can surface approval requests through Microsoft 365 experiences such as email and Teams, depending on the flow design and organisation's Microsoft 365 configuration. We design the approval experience around how users actually work.
We define exception paths, ownership, retry behaviour, notifications and escalation logic during workflow design. Business-critical workflows should make failures visible rather than silently stopping and leaving users unsure of status.
Yes. IDS Logic can provide ongoing SharePoint support and managed services for workflow monitoring, issue resolution, rule changes, integration changes, user support and continuous improvement.
